Privacy Policy

1. Who We Are

Active Tree Services Ltd ("ATS", "we", "us") operates the Active Tree Services mobile application ("the App"). We are a family-owned tree service company based in Edmonton, Alberta, Canada. This Privacy Policy explains how the App handles your information.

2. What Data the App Stores

The App stores business data locally on your device and optionally syncs it to our secure cloud. This includes:

• Job records (customer names, addresses, service details, dates, costs)
• Client contact information (names, phone numbers, email addresses)
• Crew and equipment records
• Estimates, invoices, and financial records
• Photos taken or uploaded within the App (stored as image data)
• Compliance, incident, weather, and operations logs

All data is stored on your device using browser local storage. When cloud sync is enabled, data is stored in Cloudflare's secure key-value store in your company's private namespace.

3. Ailah — AI Assistant

The App includes Ailah, an AI tree intelligence assistant. When you send a message to Ailah, that message — along with relevant context about your current screen — is sent to Anthropic's API to generate a response. Anthropic processes this data according to their own privacy policy.

We do not store your Ailah conversation history on our servers. Conversation history is saved locally on your device only.

Do not send sensitive personal information (SIN numbers, banking details, medical information) through Ailah.

4. Photos

Photos added to jobs or the gallery are stored as image data on your device. When cloud sync is active, photos are included in the synced data blob stored in Cloudflare KV. Photos are not shared with any third party.

5. Invoice Email

When you send an invoice by email, the invoice data is sent through our Cloudflare Worker to Mailchannels for delivery. The recipient's email address and invoice content are transmitted solely for the purpose of sending the invoice. We do not retain email content after transmission.

6. Cloud Sync

When cloud sync is active, your complete app dataset is stored under a company-wide key in Cloudflare's KV storage. This data is accessible to all team members using the App. It is not shared outside your organization. Cloudflare processes this data in accordance with their privacy policy.

7. What We Do Not Do

• We do not sell your data to any third party.
• We do not use your data for advertising.
• We do not share client information with anyone outside Active Tree Services.
• We do not collect analytics or tracking data about App usage.

8. Client Data Responsibilities

As a business user of the App, you are responsible for how you collect and handle your clients' personal information in accordance with PIPEDA (Canada's federal privacy law) and applicable Alberta privacy legislation. Obtain appropriate consent from clients before storing their contact information.

9. Data Retention

Data stored locally on your device persists until you clear it through the App's settings or uninstall the App. Cloud sync data persists until deleted via the App or by contacting us directly.

10. Security

Data in transit between the App and our Cloudflare Worker is encrypted via HTTPS. Data stored in Cloudflare KV is encrypted at rest. We implement reasonable technical measures to protect your data, but no method of transmission or storage is 100% secure.

11. Children's Privacy

The App is designed for use by business professionals. It is not directed at children under 13. We do not knowingly collect information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be reflected with a new effective date. Continued use of the App after changes constitutes acceptance of the updated policy.
